Booking Policy

1. Booking Procedure:
  • To book your spot on the tour, a fully completed booking form must be submitted, including personal details and the preferred bike model.
  • A minimum deposit of 30% of the total tour cost is required at the time of booking to secure your reservation.
  • The booking is considered confirmed only once the initial deposit has been received and acknowledged by the Himalayan Gravity team.
2. Booking Period:
  • Bookings must be made at least 30 days before the start of the tour to ensure availability of accommodation, bikes, and permits.
  • Late bookings (within 30 days) are subject to availability and may incur an additional processing fee.
3. Group Booking:
  • For group bookings (5 or more participants), a special group booking form will be provided.
  • The lead contact must ensure that all group members follow the booking policy.

Confirmation Policy

Booking Confirmation:
  • Confirmation will be sent via email once the 30% deposit has been received, and the tour is successfully booked.
  • Confirmation emails will include details such as the tour itinerary, payment schedule, and any additional instructions or requirements.
2. Final Confirmation:
  • Final confirmation of the tour will be given 7 days before the start date, once the full payment has been cleared and all necessary documents (ID proofs, booking form, etc.) are provided.
  • If full payment is not received by 7 days before the tour, the booking will be considered canceled, and the deposit will be forfeited.
3. Payment Process
  • For group bookings (5 or more participants), a special group booking form will be provided.
  • The lead contact must ensure that all group members follow the booking policy.

Payment Process

1. Initial Deposit:
  • A deposit of 30% of the total tour cost must be paid at the time of booking to secure your spot. This deposit is non-refundable..
  • Payments can be made via bank transfer, online payment gateway, or in-person payment (in Manali).
2. Final Payment:
  • All payments must be made in Indian Rupees (INR), regardless of the participant’s country of origin.
  • International participants may need to account for exchange rate fluctuations if paying from outside India.
4. Payment Receipts:
  • A receipt will be issued for each payment made and emailed to the customer.
  • The final receipt will be provided once the full payment has been cleared and processed.

Cancellation Policy

Booking Confirmation:
Cancellations must be made in writing (via email or letter) to be valid.
Cancellation charges are as follows:
  • 30% of the tour cost will be charged if canceled30 days or more before the tour start date (this includes the initial deposit).
  • 50% of the tour cost will be charged if canceled15-29 days before the tour start date.
  • 100% of the tour cost will be charged if canceled14 days or fewer before the tour start date.
  • In case of a no-show or cancellation after the tour has started, there will be no refund.
Cancellation by Himalayan Gravity:
In rare cases where Himalayan Gravity must cancel the tour due to unforeseen circumstances (weather, natural disasters, political unrest, etc.), participants will be offered:
  • A full refund of the tour cost.
  • Alternatively, participants may be given the option to transfer their booking to another available date or a different tour package.
  • Himalayan Gravity will not be held liable for any costs incurred by the participant, such as travel expenses, hotels, or personal losses due to cancellation.
3. No Refund for Early Departure:
  • If a participant decides to leave the tour early due to any personal reasons (injury, sickness, or change of plans), no refund will be issued for the unused portion of the tour.

Refund Policy

1. Refund Process:
  • Refunds will only be processed if the tour is canceled by Himalayan Gravity (as per the cancellation terms).
  • Refunds will be made through the same payment method used for the booking. Please allow 10-15 business days for the refund to be processed.
2. Refund Amount:
  • In case of cancellation due to circumstances within Himalayan Gravity’s control, participants will be refunded the total amount paid, minus any third-party costs that are non-refundable (e.g., permits, hotel deposits).
  • If the tour is canceled due to force majeure events (natural disasters, political instability), refunds may be partial, depending on the expenses already incurred for the tour.
3. Non-Refundable Items:
  • Travel Insurance, visa fees, personal items, and optional add-ons (such as equipment rentals) are not refundable.
